Authentic Nepali & Asian Groceries in Osaka

Privacy Policy

Effective Date: 1st Oct, 2026

Sulav Mart (sulavmart.com) is operated by SUNMOON LLC (SUNMOON合同会社). We respect your privacy and handle personal information in accordance with Japan’s Act on the Protection of Personal Information (個人情報の保護に関する法律, “APPI”). This Privacy Policy explains what information we collect when you shop with us, how we use and protect it, and the choices you have.

1. Information we collect

We collect only the information we need to run our store and deliver your orders.

a. Information you give us

  • Contact and delivery details: name, email address, phone number, and billing/shipping address (postal code, prefecture, city, street, building and room number).
  • Account details: if you create an account, your login email and password (stored in encrypted form, so we cannot see it), saved addresses, order history and wishlist.
  • Order details: products purchased, order notes, and records of cancellations, refunds and returns.
  • Messages: anything you send us through our contact form, by email or by phone, including photos you send when reporting a damaged or incorrect item.
  • Newsletter: your email address, if you subscribe.

b. Payment information

Online payments are processed by our payment provider, KOMOJU (operated by DEGICA Co., Ltd.). Card numbers and payment-app login details are handled on KOMOJU’s secure systems and are never stored on our website. We receive only what we need to confirm your payment, such as the payment method, amount, status and transaction ID. If you pay cash on delivery, payment is collected by the delivery company. If a refund has to be made by bank transfer (for example, for a convenience store payment), we will ask for the bank account details needed and use them only for that refund.

c. Information collected automatically

  • IP address, browser type, device type and operating system
  • Pages and products you view, and items added to your cart
  • How you found our website (for example, a search engine, a social media link or a direct visit)

2. How we use your information

We use personal information only for the following purposes:

  • Processing, packing and delivering your orders, including calculating shipping fees and consumption tax
  • Processing payments, refunds and cancellations, and preventing fraud or unauthorized transactions
  • Sending order confirmations and dispatch/tracking details, and contacting you about delivery, stock or payment issues
  • Responding to your questions, requests and complaints
  • Managing your account, saved addresses and wishlist
  • Sending newsletters about new products, combo sets and offers — only if you have subscribed. You can unsubscribe at any time.
  • Understanding how our website is used, so we can improve our products, services and website
  • Keeping accounting and tax records, and meeting our other legal obligations
  • Protecting the security of our website and our customers

If we need to use your information for any other purpose, we will tell you first and, where required by law, ask for your consent.

3. Cookies and similar technologies

Cookies are small files stored in your browser. We use them for:

  • Essential functions: keeping items in your cart, keeping you signed in, and completing checkout securely. The store cannot work without these.
  • Preferences: remembering products you have recently viewed.
  • Order source: recording how you reached our website (for example, a search engine or a social media link) and saving it with your order, so we know which channels bring customers to us.

We do not use advertising or cross-site tracking cookies. Our pages load fonts from Google Fonts, and our Contact page shows an embedded Google Map; when these load, your browser connects to Google’s servers, which receive your IP address and browser information.

You can block or delete cookies in your browser settings, but the cart, checkout and account pages will not work without essential cookies.

4. Sharing your information

We do not sell or rent your personal information. We share it only as needed to run our store, with:

  • Delivery companies: your name, address and phone number, so they can deliver your order
  • Payment providers: KOMOJU (DEGICA Co., Ltd.) and the payment service you choose, to process payments and refunds
  • Service providers: companies that host our website and send email for us, who may use your information only to provide their service to us

We supervise these companies appropriately. Otherwise, we will not provide your personal information to third parties without your consent, except where permitted by law — for example, when required by law, a court or a government authority, or when necessary to protect someone’s life, body or property.

Some service providers, such as Google LLC (USA), may process information on servers outside Japan. Where we provide personal information to a third party outside Japan, we take the measures required by the APPI.

5. Data security

We take reasonable technical and organizational measures to protect your personal information from loss, misuse, unauthorized access, alteration or disclosure:

  • Our website uses encrypted (SSL/HTTPS) connections.
  • Account passwords are stored in encrypted (hashed) form.
  • We do not store card numbers on our website.
  • Only staff who need your information to handle your order or request can access it, and they are required to keep it confidential.
  • We keep our website software and security settings up to date.

If a data breach occurs that may harm your rights or interests, we will notify you and the relevant authorities as required by law.

6. How long we keep your information

  • Order and transaction records: for as long as required by Japanese tax and accounting laws (generally 7 years).
  • Account information: until you ask us to delete your account.
  • Newsletter email address: until you unsubscribe.
  • Messages and support requests: for as long as needed to resolve them and handle any follow-up.

When information is no longer needed, we delete it or make it anonymous.

7. Your rights

Under the APPI, you can ask us to:

  • Tell you the purposes for which we use your personal information
  • Show you the personal information we hold about you
  • Correct, add to or delete information that is inaccurate
  • Stop using or delete your information, or stop sharing it with third parties, where the law allows
  • Show you records of personal information we have provided to third parties
  • Stop sending you newsletters or promotional emails

You can update your name, addresses and password at any time in My Account. For other requests, email contact@sulavmart.com from the email address used for your account or order, and include your order ID if you have one. We will confirm your identity and respond without delay. There is no charge for these requests.

8. Third-party links

Our website links to other websites and services, such as our social media pages and payment providers. We are not responsible for their privacy practices, so please read their privacy policies before sharing information with them.

9. Changes to this policy

We may update this Privacy Policy when our services or the law change. The updated version will be posted on this page with a new effective date. For significant changes, we will also let you know on our website or by email.
